Choosing event suppliers: useful questions before you book
Define your priorities, compare like-for-like proposals and coordinate the event day: a clear approach to choosing suppliers beyond recommendations.

A good recommendation can start your supplier search, but it cannot replace a fit with your own event. A photographer known for a particular style, a DJ you love or a designer with a beautiful portfolio still needs to understand what you are planning. Arriving with clear questions makes it easier to choose on suitability rather than a moment of excitement.
Define the need before asking for a price
Write a short event brief: location, date, approximate size, expected hours and the atmosphere you want. Add two priorities that genuinely matter to you. For photography, perhaps you want family moments without spending much time posing. For music, perhaps you need a style and volume that suit several generations. A focused brief helps suppliers propose something you can meaningfully compare.
Ask for examples similar to your situation
Instead of relying on the most striking online image, request work resembling your conditions: a small room, a daytime event or a mixed-age audience. Ask which parts the supplier handled and which belonged to other professionals. References can be helpful, but they describe someone else’s experience, not a guarantee about yours. Ask concrete questions about communication, preparation and how agreed details were handled.
Compare the scope, not just the total
Check what the price covers: team members, operating hours, equipment, preparation and any items delivered afterwards. Ask separately about possible additions such as an extra hour, travel or a decor element absent from the quotation. Clarify whether the stated price includes VAT. A cheaper proposal may cover less, while a longer proposal may still be the wrong fit. Put the differences into a short, readable comparison.
Agree how the event day will work
Who will actually arrive? When does setup begin and when does the work finish? What must the venue prepare? Who is the contact if something changes? Ask what arrangements are planned if a team member or piece of equipment becomes unavailable. Avoid assuming that “the venue already knows.” Give everyone an opportunity to spot coordination needs before the day itself.
Keep one current summary
Save the selected quotation and a clear summary of the service, date, costs and agreed payment timings. Ask both sides to confirm the details before proceeding. ZUZ can organize suppliers, documents and tasks beside your event, reducing the need to search different conversations for the latest version. If you need help understanding particular terms or a document, ask an appropriate professional rather than guessing.
Near the event, send a concise practical update with the final schedule, contact person and arrival point. A good choice does not end when the booking is made. It continues through clear coordination that lets each supplier arrive ready to do their job.
