RSVPs without endless chasing: a practical follow-up plan
Choose invitation and reply dates, write a considerate reminder and handle uncertain answers with a plan that suits your event.

Work backwards from the decision date
There is no single correct RSVP schedule for every event. Ask your venue when it needs final numbers, then identify other decisions that depend on replies: transport, meal choices or seating. Work backwards from those dates and allow time for clarification. As an example only, if the venue needs numbers on 10/06/2027, you might request replies several days earlier. Adjust the gap to your event and guests, especially when travel arrangements are involved.
Make the request clear and welcoming
An invitation should explain how to answer and who is included. Rather than simply asking people to update you, say that you would love to know which family members are coming so you can prepare their places. Request an exact party size when necessary, and avoid a long questionnaire without a practical purpose. If there is a reply deadline, give the full date clearly. Check both the wording and the link on a phone before sharing.
Give each answer the right meaning
A couple’s confirmation does not necessarily include their children. A message saying we hope to come is not a definite number for catering. Keep undecided guests separate and note what needs clarification. If someone has confirmed but omitted a small detail, do not treat them as having failed to reply. Ask only for the missing information. Your records will be clearer and guests will avoid irrelevant repeat requests.
Follow up for a reason
A useful reminder is short, personal and explains why an answer matters now. You might say that you are arranging the seating and would love to know whether they can join you. Focus on unanswered invitations instead of messaging everyone again because it is easier. If a guest struggles with the link, take their answer by phone and record it yourself. ZUZ can bring RSVP answers together in the event’s guest list so different responses are easier to track.
Share a current picture and allow for changes
Before sending numbers to the venue, review exceptions with one person who knows the list. Look for late replies, households now attending separately and changed party sizes. Give the team updated numbers with a clear last-updated date. Agree on one route for changes after handover, so an important adjustment does not remain in someone’s private message thread. The aim is not to guarantee attendance; it is to reduce uncertainty and make a thoughtful working plan.
Agree which planner contacts each group. Two separate calls to the same household can produce conflicting answers and unnecessary pressure. Record who gave the latest reply and when. If a guest asks for more time, note the agreed follow-up date rather than sending another general reminder the next morning.
